Frequently asked questions

Do my tenants need an account to pay rent?

No. Tenants pay straight from a secure emailed link, no sign-up required. The optional portal just lets them see history and manage autopay.

What payment methods can tenants use?

Bank transfer (ACH) and debit/credit card. We show bank first because it's much cheaper; you choose whether you or the tenant covers the card processing fee.

Do my tenants need an account?

No, and this is the part landlords love. There are three separate things, and only one is optional: (1) PAYING never needs an account, tenants pay from a secure emailed link, by bank or card, in under a minute. (2) ACCEPTING the lease also works from an emailed link, no sign-up. (3) A TENANT PORTAL login is optional, it only adds self-serve autopay, payment history, and maintenance requests. If your tenant never creates an account, everything still works.

When is rent charged?

KeyProp creates each charge and emails a pay link about 7 days before the tenant's due day. If a tenant is on autopay, their saved method is charged automatically on the due date.

I'm onboarding tenants who've lived here for a while, will they be charged for past months?

No. Only the first charge (dated at the lease start) and future months are billed, the months in between are never auto-charged, and the wizard warns you when a lease starts in the past. If the tenant owes back-rent, add those months as one-off charges on the Payments page.

What happens when a tenant moves out or a lease ends?

Archive the tenant (keeps their history) or let the lease lapse / end it from the Leases page. Either way, KeyProp automatically stops billing them.

Can I change just one month's rent or add a one-off charge?

Yes. On the Payments page you can adjust an unpaid charge's amount, cancel it, or add a one-off charge (like a utility), optionally emailing the tenant a pay link.

How do I get paid?

Connect your bank via Stripe in Settings → Payments. Collected rent is transferred to your bank, usually 1-2 business days after a payment settles.

Is my data secure?

Yes. Data is stored with row-level security and encrypted in transit and at rest. Payments run through Stripe, we never store card or bank numbers on our servers.

What happens if I cancel my subscription?

Canceling keeps your data, you stay on the paid plan until the end of the period you paid for, then your account moves to the Free plan: everything stays visible, automatic rent collection pauses, and you can keep tracking manually. Upgrade again anytime to pick up exactly where you left off.

How do I permanently delete my account?

Settings → Danger Zone → Delete my account (type DELETE to confirm). Export your data there first if you want a copy. Deletion cancels your subscription, turns off tenants' autopay, and starts a 30-day grace period during which you can still restore it. After 30 days it's permanent. Deletion is blocked while a tenant payment is still processing.

What happens when my 14-day trial ends?

Your account moves to the Free plan automatically. Nothing is deleted and no card is charged (we never had one). At your next login you choose: keep Starter for $19/mo, or continue on Free. On Free, automation pauses (autopay charges, automatic pay-link emails, reminders, and automatic late fees stop, so rent is collected manually) and up to 3 properties stay active. If you added more than 3 during the trial, you pick the 3 to keep active; the rest are archived read-only and restore instantly if you upgrade.

What does it cost?

Free covers up to 3 units with manual tracking. Starter ($19/mo) includes unlimited units and full automation, no per-unit fees. Pay annually for two months free. See the Pricing page for details. Online payments: bank/ACH adds a small flat fee (a few dollars, capped); cards cost the standard ~3.5%. The exact fee is always shown before a tenant pays, and you can choose to cover fees yourself in Settings.

Can I accept cash, check, Venmo, or Zelle?

Yes. If a tenant pays you outside KeyProp, click Manual on the charge to mark it paid. It's recorded in your history and reports with no processing fee, so your books stay accurate.

Do you support Section 8 / housing-voucher tenants?

Yes, Section 8 is first-class, on every plan. Set the voucher amount on the lease and KeyProp splits every month automatically: the tenant is billed only their portion (payable online with no account needed), and the housing authority's HAP portion is tracked as its own charge, auto-recorded each cycle if you opt in, or confirmed manually when the check arrives. Your books always show the full contract rent.

Can I collect a security deposit or first month up front?

Yes, the New Lease wizard collects the deposit, first month (prorated automatically for mid-month move-ins), and any one-off move-in charges when you create the lease. You can also use Add Charge on the Payments page anytime, then email a pay link.

Can I change a tenant's rent?

Yes, rent lives on the lease. Edit the lease's rent, schedule a rent increase for a future date, or set new terms as part of a renewal. You can also adjust a single upcoming charge's amount on the Payments page for a one-time change.

What if a payment fails or a tenant disputes a charge?

Failed autopay automatically falls back to emailing the tenant a pay link. Refunds are built in: open the paid charge on the Payments page and click Refund, full or partial, reversed to the tenant's original payment method and recorded in the ledger. Card disputes (chargebacks) are handled through Stripe; we'll surface them as they happen.

Can tenants pay from their phone?

Yes. The pay link and checkout are mobile-friendly, so tenants can pay from the email on any device in under a minute.
